Child and Guardian Privacy Notice

Most of our younger students learn with the involvement of a parent or guardian. This notice explains what information Pro Quran Tutor may hold about a child, why we need it, who can access it and how parents or guardians are involved.

This notice should be read together with our Privacy Policy.

Who Is Responsible for a Child's Account?

Where a student is under 18, their parent or guardian should normally manage the relationship with Pro Quran Tutor.

The parent or guardian is responsible for providing accurate information about the child and keeping relevant contact details up to date.

They may also receive information relating to the child's classes, attendance, lesson progress, scheduling and payments.

Children should not be expected to manage billing or other important account decisions independently.

What Information We Record About a Child

We only collect information that is reasonably necessary to arrange, deliver and manage the child's learning.

This may include:

• The child's name and age or date of birth where needed.
• Parent or guardian contact details.
• Languages the student understands.
• Course, level and learning requirements.
• Class schedule and teacher assignment.
• Attendance records.
• Lesson reports.
• Homework and learning progress.
• Relevant communications about classes.
• Information necessary to support the child's safety and wellbeing.

Safeguarding information, where required, is treated more carefully than ordinary learning or account information.

Why We Use This Information

We use this information to arrange suitable classes, assign teachers, manage schedules, record attendance and support the child's Quran learning.

It may also be used to communicate with the parent or guardian, maintain appropriate academy records, protect academy accounts and meet safeguarding responsibilities.

Private child, family, learning or safeguarding information is not to be used for advertising simply because it exists within the academy system.

Parent or Guardian Consent

Where consent is required for a particular activity, Pro Quran Tutor should explain what is being requested before asking the parent or guardian to agree.

Consent should be specific enough for the parent or guardian to understand what they are agreeing to.

Where appropriate, a record of that consent may be kept.

If Pro Quran Tutor introduces an activity such as class recording, screenshots, audio monitoring or another form of monitoring involving a child, it must be appropriately disclosed and any required permission obtained before it is used.

Who Can See a Child's Information?

Access is limited to authorised people who need the information for their academy role.

This may include academy administrators, relevant staff and the teacher assigned to the student.

Teachers should only have access to information they reasonably need to arrange or deliver the child's learning.

One family should not be able to see another family's private information.

Safeguarding information should only be available to authorised people who need it to deal with the concern.

Online Classes

Pro Quran Tutor provides online one-to-one Quran classes.

Private class or meeting links are intended only for the people authorised to take part in that class.

Depending on the circumstances, this may include the student, assigned teacher and the student's parent or guardian.

Parents and guardians should not share private class links with unauthorised people.

The meeting service used for a class should be communicated through the academy's approved class arrangements.

Pro Quran Tutor should not claim that classes are routinely recorded unless recording has actually been enabled and the necessary privacy and consent arrangements are in place.

Teachers and Communication

Teachers and students should use the academy's approved methods for class-related communication.

Where the learner is a child, important matters relating to scheduling, payments, safeguarding or account management should normally involve the parent or guardian.

Private information about a child should not be shared outside the academy unless there is an appropriate reason and authority to do so.

Safeguarding

The safety and wellbeing of children is an important responsibility of Pro Quran Tutor.

If a parent, guardian, student or teacher has a concern about a child's safety or wellbeing, they should use the academy's Report a Concern process or contact the academy.

Safeguarding concerns should be handled separately from ordinary enquiries and should only be accessible to authorised people who need to deal with them.

Where there is an immediate risk of harm or an emergency, the appropriate local emergency services or authorities should be contacted.

How Long We Keep Information

Information about a child should only be kept for as long as it is reasonably required for learning, account administration, financial records, security, safeguarding or applicable legal requirements.

Different types of information may require different retention periods.

Pro Quran Tutor should not set arbitrary retention periods for safeguarding or child records without an appropriate privacy and legal review.

When information is no longer required, it should be deleted, anonymised or otherwise handled appropriately.

A Parent or Guardian's Rights

A parent or guardian may contact Pro Quran Tutor to ask about personal information held about them or their child.

Where appropriate, they may ask for inaccurate information to be corrected or information that is no longer required to be deleted.

Some records may need to be retained where there is a legitimate financial, legal, security or safeguarding reason.
